
Most office interior design briefs arrive as an area problem: too many people, not enough floor. Almost as often, the floor is adequate and the layout is spending it badly, on meeting rooms nobody can book, on circulation that crosses the quietest desks, on a plan that grew by adding a desk wherever one would fit.
A workplace is used in minutes, not in square metres. Planning it around the minutes is what makes an existing floor feel larger without gaining a metre.
Square metres are the wrong unit
Density benchmarks tell you how many people a floor can legally and physically hold. They tell you nothing about whether the floor works. The useful questions are behavioural: how often does someone need to speak without disturbing three others, how far is it from a desk to the nearest place you can take a call, how many times a day does a person cross the floor, and what do they pass on the way.
At Emissive the brief was more space and there was none to add. The answer came from the sequence instead: the entrance opens onto a lounge that absorbs arrivals and informal conversation, the open workspace sits behind it, and meeting and break rooms close the far end where interruption costs least.
What a workplace survey actually measures
Before any line is drawn, spend a week observing. Not a questionnaire, an observation, across a full week including the quiet days.
- Occupancy by hour, not by headcount. Most floors peak for six hours and are half empty for the rest.
- Meeting sizes actually held, against the rooms available. The gap is usually enormous.
- Where calls are taken today, the stairwell, the kitchen, the empty room being used as a phone booth.
- Storage genuinely in use, as opposed to inherited.
- The routes people take, and which desks sit on them.
A week of this changes more decisions than a month of drawing, and it is the least expensive week of the project. It belongs to strategy and concept, before anything is committed, and it is the same discipline we apply on every project in the portfolio, whatever the sector.
Zoning: work, meet, retreat
Three zones, arranged so the noisiest is furthest from the most concentrated. It sounds obvious and is routinely inverted, because the best daylight tends to go to meeting rooms, which are empty most of the day, while the desks sit inboard.
Storage is the quiet tool here. A full-height storage wall placed on the boundary between two zones does two jobs at once: it holds what the team needs, and it stops sound and sightlines from crossing. Furniture and joinery can define a plan far more cheaply than partitions, and they can be moved when the team changes.
Meeting rooms are almost always the wrong size
The standard error is a small number of large rooms. Observed meetings are overwhelmingly two to four people; the twelve-seat boardroom is used weekly and blocks the best corner of the floor daily.
The corrective is unglamorous: more small rooms, at least one properly enclosed one-person booth per fifteen desks, and one large room that can be booked rather than owned. Enclosure matters more than area, a two-person room with a real door and an acoustic ceiling is used constantly; a glazed pod that leaks sound is used once.
Acoustics before decoration
Open-plan complaints are almost never about space; they are about noise. Treatment belongs in the plan, not in a later order of felt panels: an absorbent ceiling over the densest zone, soft flooring on the main circulation route, storage walls and planting on the boundaries, and enclosed rooms for the conversations that need them.
Glazed partitions are worth the coordination. They keep daylight travelling across the depth of the floor, and a graphic film gives privacy without turning rooms into boxes. They are also unforgiving: they must be set out on site against the existing structure, because no building offers a square grid and glass shows the difference. Moving partitions, services and acoustics is architecture rather than decoration, which is worth settling when you decide who to appoint.
Light, and the case against a uniform ceiling
A single flat level of light across a whole floor makes every zone read the same, which defeats the zoning you just paid for. Differentiate: bright and even over the desks, lower and warmer in the lounge and break areas, controllable in meeting rooms where a screen has to be legible. Give the floor at least three scenes, and put the switching where people can reach it.
Phasing a fit-out around a team that keeps working
Most fit-outs happen on an occupied floor, and the phasing decides how much the project costs in disruption. The sequence that works: install the storage walls first so the open floor can be screened, then build the enclosed rooms behind them, then move the desks once. Each phase should free one zone completely rather than half of two.
Agree in advance what is unacceptable during working hours, core drilling, anything above a defined noise threshold, work over occupied desks, and put those items in the evening windows from the start rather than negotiating them weekly.
What to fix before drawing furniture
- The observed occupancy curve, and the density you are actually planning for.
- The zoning diagram: which end is loud, which end is quiet, and what separates them.
- The meeting-room mix, sized from observed meetings rather than from headcount.
- The acoustic strategy, zone by zone.
- The phasing plan, if the floor stays occupied.
Everything after that, finishes, furniture, colour, is easier, cheaper and less contested, because it is answering a plan rather than compensating for one. If you are looking at a floor that no longer fits, tell us about it.
